Aides

The bus aides and monitors who ride with your drivers: their details and pay, their background check, child abuse clearance and CPR / first aid dates, and putting one on a route.

Aides (under Drivers in the menu — press the arrow next to Drivers to show or hide it) keeps every bus aide or monitor who rides with your drivers — so an aide is a person you pick on a route, not a name typed again on each one. It is being switched on company by company; until then a route's aide is typed on the route (see Routes).

Add an aide

  1. Open Aides and press Manage › Add aide — or, while editing a route, press Add new aide next to the aide drop-down (a pop-up with the same boxes; the new aide is picked for the route straight away).
  2. Enter the First name (required), Last name, Phone (the driver can tap it to call), Email, Home address (filled in as the pick-up when they're put on a route), Status, Hire date, their Usual pay (per day, per run or per hour — filled in on a route when they're picked; drivers never see it) and Notes. A photo is optional.
  3. Under Credentials, enter when each must be renewed: Background / fingerprint check, Child abuse clearance and CPR / First aid.

The list

Like Drivers: Name, Phone, Status, Route, Credentials and Usual pay. Click a heading to sort by it (again to reverse). Search by name, phone or email, pick a status, and press Filter.

Manage (top right): Add aide, Export CSV (the list as filtered — or, with rows ticked, just those) and Archive for the ticked aides. Tick rows with the check box at the start of each row (the one in the header ticks the whole page). Archive is held back while any ticked aide is on an active route, and the banner says who and which route. Archived aides are under Archived (n) above the search; there, Manage › Restore brings the ticked ones back.

Credentials and reminders

The list shows each aide's credentials at a glance — All current, or how many are expired, expiring (within your expiring window, Settings › Compliance) or have no date. An active aide's credentials appear on Compliance with the drivers' and vehicles' dates, and the people who can edit drivers get a reminder before one runs out (on your reminder days, like any other document). They don't count in the compliance score.

Putting an aide on a route

On a route's Add or Edit page, tick This route needs an aide and choose the Aide from the drop-down (active aides). Their pick-up and rate are filled in from their record when those boxes are still empty — change them for this route if you need to. A route has one aide. An aide already on another active route at overlapping times can't be picked: the message says which route.

The driver sees the aide's name, tap-to-call phone and pick-up on My Day. Change an aide's name or phone on their page and every route they're on is updated — and the drivers are told, as with any route change.

Texts to aides

Aides don't sign in, so when your company has text messages to drivers switched on, an aide with a mobile number gets a text when they're put on a route (with the school, times and their pick-up), when they're taken off it (another aide picked, or the aide unticked), and when the route changes — its times, stops or school, their pick-up, or it's cancelled or running again. They're never told their pay. An aide can reply STOP to stop the texts (START to get them again); any other reply is passed to the people who can edit drivers, as a notification that opens the aide's page. Their page says whether they get texts. With texts switched off, nothing is sent.

An aide's page

  • Routes — the routes they're on (and where they're picked up for each).
  • Their details and credentials, to edit — Save when you're done.
  • Archive — takes them out of the list and the route drop-down, keeping their routes' history; not while they're the aide on an active route (take them off it, or set the route inactive, first). Archived aides are under Archived (n) on the list, with Restore on their page.

Good to know: Aides who were typed on routes before this was switched on are already in the list — the same name in your company is one person, with the phone, pick-up (as their home address) and rate from their most recently edited route.
