Company & settings

Settings

Company profile, lists, compliance and notification rules, CSV import, and the audit log.

Settings is where administrators set the company up. The home page links to each part:

Company profile

  • The company name, logo and timezone. Upload your logo (JPG, PNG or WEBP, up to 1 MB) and it appears in the header of every page, next to your company name; Remove the logo goes back to the name alone.
  • Company address — your office or yard's postal address, printed on inspections as the Operator's address.
  • Map search area (for example Riverside, CA) — added to short stop names so Google Maps and the address suggestions find the right city.
  • Whether USPS address check is on, and the optional Street address suggestions from Google switch (see Addresses).
  • Driver attendance — how drivers are paid (per hour or per shift) and the company rate, the pay period, and when a driver counts as late. See Driver attendance.

Departments, locations & vehicle types

The lists behind the drop-downs on vehicles, parts and expenses. Locations (depots, yards) have an address, city, state and ZIP; choosing an address suggestion fills them all in. A vehicle type can be marked school bus.

Compliance rules

  • Reminder days before something expires.
  • How many days is "expiring soon".
  • How often a vehicle must be inspected.
  • Which documents every driver must have (license, medical card…).
  • How much each area counts in the compliance score.

Notification rules

For each kind of alert: turn it on or off, choose how many days ahead it fires, and whether it may also be emailed — each person then decides for themselves under My account › Email notifications (off until they turn it on). The exception: drivers are always notified about their routes (new, changed, taken off, cancelled) — that one isn't listed because it can't be turned off.

Import

Load many records from a CSV file: vehicles, drivers, parts, vendors, fuel and expenses.

  1. Choose what you are importing and download the template.
  2. Fill it in and upload it.
  3. The app checks every row and shows the mistakes (nothing is saved yet).
  4. Fix them, or continue — only correct files are saved, all at once.

Good to know: Re-importing after a clean-up: a vehicle or driver you deleted (Manage › Delete) no longer holds its fleet number or employee ID, so the same numbers import fine. One that is only archived still holds its number — the check says so; open the Archived list and restore it, or tick it there and choose Manage › Delete, then import again.

Audit log

A record of every change: who, what, when and from where — and every sign-in (signed in, under users). Filter it and use it to answer who changed this? or when did they last use the app?

Good to know: Only people with the right permissions see these pages.
