Inspections
Pre-trip, post-trip and other checklists, their results, and the templates behind them.
The Manage menu
Two tabs at the top: Inspections and Inspection templates (each with a count); the templates tab has its own Manage (below). Manage (top right) has New inspection and Export CSV. Tick rows with the check box at the start of each row (the one in the header ticks the whole page). Export CSV downloads the list as it's filtered — or, with rows ticked, just those.
Inspections records every checklist completed on a vehicle: who did it, when, and the outcome (Pass, Needs attention, or Fail).
Do an inspection
- Press New inspection.
- Choose the vehicle — a big button for each — then the inspection (template) to perform. Each step has a blue Back button at the top: it goes from the vehicle list back to Inspections, and from the checklist back to Change inspection and then Change vehicle.
- Go through the checklist. Mark each item OK or not OK, add a note where something is wrong.
- Add a photo (optional) under any item straight from your phone's camera — it's optional on every item, not just a failed one. The photo uploads as soon as it's taken (a green tick shows it's done); × takes it off again.
- Submit. The outcome is worked out from the answers; failed or flagged items can create defects automatically, and a critical failure can put the vehicle out of service and notify managers.
The list
Columns: Inspection, Vehicle, Inspector, Date, Outcome, Defects. Filter by outcome and by template; search by vehicle.
Templates
On the Inspection templates tab (people who can approve inspections) you define the checklists. Manage there has New template, and for the template you tick, Edit and Duplicate template — a copy named … (copy) with everything in it, which opens ready to rename and change — and Delete for the ones you tick — and Add from Inspections templates library: ready-made templates (such as a Quarterly vehicle inspection) you can add as your own copy, for all vehicles until you tick your vehicle types; change anything in it. New companies start with the published ones already in their list. A template that inspections were done with can't be deleted (those inspections still show its checklist): press Edit and untick Active instead, and it's no longer offered.
- Operator and Address — your company's name and address, shown greyed out for reference; change them under Settings › Company. They're printed on every inspection.
- Type — pre-trip, post-trip, daily, weekly, monthly, quarterly, twice a year, annual, DOT, school bus or other.
- Applies to vehicle type — tick one or more types in the drop-down (e.g. School bus and Van); leave them all unticked for every vehicle. A template is only offered for vehicles of its types.
- Mechanic — who does this inspection (anyone in your company; add people under Settings › Users). Printed on the inspection.
- Vehicle components inspected — the items to check, each with a category, and Safety-critical if a failure should be able to take the vehicle out of service. Press Add component for more; reorder with the arrows.
Printing an inspection
Open an inspection and press Print (top right). The printout — or a PDF, if you choose Save as PDF — is a clean inspection report: the Operator, Address and Mechanic, the vehicle with its VIN and plate, the date and odometer, every component with its result (the sections sit two to a row, so a report stays short), and lines for the mechanic's signature and the date. The app's menu and header are left off.
Sign with the mechanic's name (handwriting) — the box next to Print (and next to Print all when printing several). Ticked, the signature line shows the template's Mechanic written in a handwriting style, and the date line the inspection's date the same way, on every report on the page. Unticked (the default), both lines print blank to sign by hand. The app remembers your choice on this computer. A template with no mechanic leaves the signature line blank either way.
Several at once: on the Inspections list, tick the ones you want (the box in the header ticks the whole page) and choose Manage › Print. A new tab opens with all their reports, each starting on a new sheet, and the print dialog opens once — print them all in one go, or Save as PDF for one file with every report. Up to 100 at a time; to print more, filter the list (by date, vehicle or template) and print in batches.
