Incidents

Accidents and safety events: what happened, who was involved, injuries, cost and claims.

The Manage menu

Manage (top right): Report incident, Export CSV, and Edit / Delete for ticked incidents. Tick rows with the check box at the start of each row (the one in the header ticks the whole page). Export CSV downloads the list as it's filtered — or, with rows ticked, just those. An incident with an insurance claim or police report number is kept as the record and can't be deleted (remove a number entered by mistake on its Edit page first). Deleting removes its photos, documents and videos too.

Incidents is the record of accidents and safety events. If anyone is hurt, call emergency services first — then report it here; managers are notified as soon as you save.

Attach photos, documents and videos while you report it, or later on the incident's Photos, documents & videos tab: press Choose files and pick one or several at once — photos (JPG, PNG, WEBP), PDF, Word or Excel files, and videos such as dash-cam or phone footage (MP4, MOV, WEBM). Each chosen file is listed with its size and an × to take it off again.

  • Photos and videos are compressed before they upload, so they take less space and upload faster on a phone: photos are resized to at most 2048 pixels on the long side, videos to 720p. They stay clear enough to read a plate or see damage. PDFs, Word and Excel files are kept exactly as they are.
  • Limits after compressing: photos and documents up to 15 MB, videos up to 100 MB (you can choose a bigger video — up to 500 MB — if it will shrink below that).
  • A progress bar shows each file being compressed and uploaded — keep the page open until it finishes. Videos play right on the incident's page.
  • Files are kept in private storage; only people who can open the incident can see them.
  1. Press Report an incident.
  2. Enter when and where (address boxes suggest as you type), the type (accident, collision, passenger incident, property damage, mechanical failure, safety incident, other), the vehicle and driver (choosing a vehicle fills in its driver) and a description.
  3. Tick injuries and property damage where they apply; add the police report number, insurance claim number, witnesses and estimated cost.
  4. Under Photos, documents & videos, press Choose files to add any pictures, papers or footage you have (optional).
  5. Press Report incident (it says how many files will go with it). The incident is saved, the files upload, and the incident opens. If a file doesn't make it, a banner says which — add it again on the Photos, documents & videos tab.
  • Status moves Open → Under review → Closed; add the actual cost when it is known.
  • The list shows Incident, Type, Vehicle, Driver, Date, Cost and Status, with search and filters, and can be exported.
