The FleetCommander guide
How everything in FleetCommander works — the fleet management app for school-bus and transportation companies. Every page, button and setting, explained step by step: the same guide our customers use inside the app.
Getting started
- Welcome to FleetCommander
What the app is for, how its pieces fit together, and where to begin.
- Finding your way around
The sidebar, the header, tables, filters, sorting, back buttons and the picture drop-downs.
- Dashboard
Today's fleet at a glance: counts, costs, what's due and what's expiring.
- Signing in, two-step login and forgotten passwords
How to sign in, turn on two-step login with an authenticator app, use backup codes, and reset a forgotten password.
- Contact us
Send a message to the FleetCommander team from inside the app, and look back at what you have sent.
- Search
Find a vehicle, driver, work order, vendor and more from one box.
- Notifications
The bell: reminders, alerts and messages, and how to control them.
- My account
Your photo, style (light and dark themes), email notifications, password, and — for Super Admins — demo data and purging all data.
- Addresses: suggestions and checking
How address boxes suggest as you type, fix mistakes, and check with the Postal Service.
- Reading the timelines
How the Drivers list and a driver's page draw a day by the hour.
- Words used in the app
Short definitions of the terms you'll see.
For Drivers
- My Day (the driver portal)
The mobile-friendly page drivers use instead of the Dashboard: their bus, routes, inspections and messages.
- Onboarding: training videos and the handbook
Watch your company's training videos and read the driver handbook, then tick each one off.
- Doing an inspection
Pre-trip and post-trip checklists from a driver's phone, including the optional photo on every item.
- Messaging dispatch and the office
The two conversations on My Day: chat about a specific route, and your private chat with the office.
- Sharing your location
The one-tap button that tells the office where you are right now — never tracked, never automatic.
People & vehicles
- Fleet (vehicles)
Every bus and van: the list, adding a vehicle, its page and tabs, photo, documents and car number.
- Drivers
Driver profiles, license and medical dates, photo, fuel card, routes, messages, and the table / timeline views.
- Driver attendance
Clock in and out (drivers, the office, or a pre-trip), who's on duty, late, off or not in yet, fixing shifts, time off (requests, approvals, paid time off), hours and pay per hour or per shift, and the reports.
- Documents
Every vehicle and driver document in one list, with expiry dates.
Routes & scheduling
- Routes
Schools and districts, adding a route, assigning a vehicle and driver, the one-driver rule, price, messages and maps.
- Student attendance
Marking each student picked up, a no-show or absent on every run — by the driver on My Day or by the office on the route's page — and the attendance reports.
- Schedule
The calendar of events: training, inspections, renewals and more, by day, week or month.
Maintenance & safety
- Maintenance
Preventive maintenance schedules (oil changes, brakes, safety inspections) and the service history.
- Work Orders
Repair jobs: priority, technician, parts used, labour, cost and status.
- Warehouse & Inventory
The parts room: stock levels, minimums, adding stock, and which work orders used a part.
- Inspections
Pre-trip, post-trip and other checklists, their results, and the templates behind them.
- Defects
Problems reported on a vehicle, from Low to Critical, and how they are followed up.
- Incidents
Accidents and safety events: what happened, who was involved, injuries, cost and claims.
- Compliance Center
Everything that needs attention to stay compliant, and the 0–100 score.
Money
- Fuel
Fuel purchases, price per gallon, miles per gallon and cost per mile.
- Expenses
Every cost — fuel, repairs, tires, insurance, tolls — and the cost per mile.
- Vendors
Repair shops, suppliers, insurers and other companies you deal with.
- Insurance
Policies, what they cover, their premiums and when they expire.
- Reports
Ready-made reports on vehicles, maintenance, drivers and fuel — on screen, or as CSV, Excel or PDF.
- Bank
A browser window inside the app with saved sites, for checking the company's bank account.
Company & settings

Company profile, lists, compliance and notification rules, CSV import, and the audit log.
