Getting started
My account
Your photo, style (light and dark themes), email notifications, password, and — for Super Admins — demo data and purging all data.
Click your name in the header to open My account.
Profile photo
- Under Profile photo, choose a JPG, PNG or WEBP picture (up to 5 MB).
- Press Save photo. To go back to your initials, tick Remove current photo and save.
Your photo shows in the header, in the users list and in chats. An administrator can also set it from your Edit user page.
Style
Choose how the app looks. There are six light styles (Classic, Sand, Mint, Rose, Lavender, Sky) and six dark ones (Midnight, Graphite, Forest, Ember, Ocean, Plum). Click a card — the whole app changes at once, and your choice is saved on your account, so it follows you to other devices.
Email notifications
One switch: Email me my notifications. Off (the starting setting), your notifications only appear under the bell. On, they are also emailed to your address — expiring papers, maintenance due, new defects, route changes and the rest. Flip it and it is saved at once. Sign-in and billing emails are sent either way. See Notifications.
App tour
While a company is on its free trial, FleetCommander opens a short app tour on every sign-in: it lights up the menu and the main pages (Fleet, Drivers, Routes, Maintenance, Warehouse & Inventory, Fuel, Vendors, Inspections) and your account, explains where to start, and — for the company's Super Admin — offers to load example data so you can explore. Tick Don't show this again before closing it to stop it opening on its own; open it again any time with the compass icon in the header (hover it: Take the tour) or with Take the tour here.
Two-step login
Add a second step to signing in — a 6-digit code from an authenticator app on your phone — in the Two-step login section. You can make new backup codes there, and turn it off (unless the owner has made it compulsory for Super Admins). Full guide: Signing in, two-step login and forgotten passwords.
Demo data (Super Admins only)
Want to try the app before entering your own records, or show someone around? Press Load demo data. In about fifteen seconds the company is filled with a realistic example: 5 drivers, 5 vehicles, 6 routes (finished, current and coming up), schools, vendors, parts, maintenance schedules, work orders, inspections, defects, fuel, expenses, insurance, an incident and calendar events. Everything is named Demo (route numbers start with D-), so it is easy to tell apart.
- When you have finished testing, press Remove demo data (and confirm). It removes exactly what was loaded and anything added to it while testing — work orders on a demo bus, fuel entries, chat messages, notifications about it — so you start fresh.
- Loading demo data never sends emails — alerts about the demo records appear under the bell only.
- Your own records are never touched. A list your own records have started to use (for example a depot or a vendor) is kept, and the message says so.
- The demo people have no logins and no passwords, so nothing is left open. To try the driver side, link a login to a demo driver yourself, and remove it afterwards.
- Loading is all-or-nothing: if something with the same name is already in the app, nothing is added and you are told why. You can't load it twice — remove it first.
Purge all data (Super Admins only)
At the bottom of My account, a Super Admin can wipe everything the company has entered and start again from scratch — for example after testing with made-up records, or before a clean import.
- Wiped for good: vehicles, drivers, routes, schools, maintenance, work orders, parts, inspections, defects, fuel, expenses, vendors, insurance, incidents, the calendar, documents, messages, notifications and uploaded files. The four starting vehicle types come back.
- Kept: your people and their logins, their roles, your company settings and logo, notification rules, invoices and the audit log (which records who purged it).
- To confirm, type your company's name exactly as shown and your own password, then press Purge all data. It cannot be undone, so export anything you want to keep first (Manage › Export CSV on each list).
- Only want to remove the example records? Use Remove demo data instead — it leaves your own records alone.
Change password
- Enter your current password.
- Enter a new one — at least 10 characters with a letter and a number — twice.
- Press Update password.
Tip: Your name comes from your user record. If it is wrong, ask an administrator to change it under Settings › Users; the header updates straight away.
