Expenses

Every cost — fuel, repairs, tires, insurance, tolls — and the cost per mile.

The Manage menu

Manage (top right): Add expense, Import CSV, Export CSV, and Edit / Delete for ticked expenses. Tick rows with the check box at the start of each row (the one in the header ticks the whole page). Export CSV downloads the list as it's filtered — or, with rows ticked, just those. An expense that is part of a work order's costs can't be deleted here — change it on the work order.

Expenses has two tabs: Expenses (the list) and Cost summary (totals). Choose a period with the range or the From / To dates.

  • Categories: fuel, maintenance, repairs, tires, insurance, registration, tolls, parking, parts, cleaning, leasing, financing, other.
  • The Cost summary shows the Total fleet cost, split into Fuel, Maintenance and Other, and the Cost / mile of each vehicle.
  • Costs from fuel entries and completed work orders appear here automatically — you only add the rest by hand.
  1. Press Add expense.
  2. Choose the category, the amount, the date and, if it belongs to one, a vehicle, driver, department, vendor or work order.
  3. Save expense.

Search by description, vehicle or vendor; Import CSV and Export CSV are in the Manage menu.
