Work Orders
Repair jobs: priority, technician, parts used, labour, cost and status.
The Manage menu
Manage (top right): New work order, Export CSV and Delete. Tick rows with the check box at the start of each row (the one in the header ticks the whole page). Export CSV downloads the list as it's filtered — or, with rows ticked, just those. Only Open or Cancelled work orders with no parts and no expenses on them can be deleted: one in progress or waiting must be cancelled first, a completed one is kept as the vehicle's service history, and parts must be removed on its page (so the stock goes back). If any ticked work order is held back, nothing is deleted and the banner says why for each. Defects a deleted work order was fixing go back to Open.
A work order is a repair or service job on a vehicle: what is wrong, who is doing it, which parts are used, how many hours it took and what it cost.
The list
- Columns: WO #, Vehicle, Description, Priority, Status, Technician, Cost, Opened.
- Search by number, description or vehicle; filter by status (including Active — not done) and priority.
- Export CSV downloads the list.
Create a work order
- Press New work order (or create one from a maintenance schedule or a defect — the details are filled in for you).
- Choose the vehicle (the picture list), priority (Low, Medium, High, Urgent), the repair category, a description, the technician (a user), the vendor if it is done outside, labour hours and cost, odometer.
- Save work order.
Working a work order
- Change its status: Open → In progress → Waiting for parts / Waiting for approval → Completed (or Cancelled). Completing it notifies the right people and records the service.
- Add parts from the inventory; the quantity comes off the stock automatically and the cost is added.
- Attach photos or documents (quotes, invoices) on the Attachments tab: press Choose files, pick one or several (PDF, Word, Excel, JPG, PNG or WEBP, up to 15 MB each), then Upload. A progress bar shows each one going up.
Good to know: Setting a vehicle's status to Maintenance or Out of service is done on the vehicle; a Critical defect does it for you.
