Terms of Service

1. Agreement

These Terms of Service (the “Terms”) are an agreement between Fleet HUB (“we”, “us”) and the company that creates a Fleet HUB account (“you”). By creating an account, or by using Fleet HUB, you agree to these Terms and to our Privacy Policy. If you accept them for a company, you confirm you may bind that company.

2. The service

Fleet HUB is web software for managing a vehicle fleet and transportation operations: vehicles, drivers, routes, maintenance, inspections, fuel, expenses, documents and reports. We may improve, change or add features; we will not remove a core feature without reasonable notice.

3. Accounts and security

The person who creates the account becomes its Super Admin and may invite others and set their roles. You are responsible for everything done through your account, for choosing who has access, and for keeping sign-in details private.

Super Admins must use two-step login. Tell us promptly if you think someone has gained access to your account without permission.

4. Free trial

A new company receives a free trial (currently 30 days). No payment card is needed to start. When the trial ends we will send an invoice; if it is not paid by its due date (plus any grace period stated on your Billing page), the account is suspended as described below. You can stop using Fleet HUB at any time during the trial, and we will not charge you for a trial you do not continue.

5. Fees, invoices and suspension

Fleet HUB is charged per vehicle per month, plus a one-time setup fee, at the rates shown on your Billing page. For new accounts the standard rates are shown at sign-up; we may agree different rates with a company in writing, and those apply to that company.

We invoice monthly in advance for the vehicles in your account on the invoice date. Invoices are due on the date shown (by default seven days after they are issued). Fees are exclusive of taxes, which you are responsible for where they apply. Fees already paid are not refundable except where the law requires it or we agree otherwise.

If an invoice is unpaid after its due date and any grace period, we may suspend the account. While suspended, your people can open only the Billing page (and Help and Contact us); your data is kept and everything returns as soon as the invoice is paid. We will give notice by email and in the app before and when we suspend.

We may change our standard prices; a change applies to you only after we give at least 30 days' notice.

6. Your data

You own the data you put into Fleet HUB (“Your Data”). You give us permission to store and process it only to provide and secure the service and as described in the Privacy Policy. We do not sell Your Data.

You are responsible for having the right to put Your Data, including information about your drivers and staff, into the service, and for using it in line with the laws that apply to you.

You can export much of Your Data from the app (for example CSV and Excel exports). After an account is closed we keep its data for 60 days so you can ask for an export, then delete it, unless the law requires us to keep something longer.

7. Acceptable use

You will not: break the law using Fleet HUB; try to access other companies' data or our systems without permission; probe, overload or disrupt the service; upload malicious files; resell or share access to the service outside your company; or use it to store information it is not designed for (for example payment card numbers — the fuel card field accepts only the last four digits).

8. Third-party services

Some features can use outside services if you switch them on, such as Google Maps or Places, the U.S. Postal Service address check, and email delivery. Their terms apply to that use, and switching them on may send information (for example a typed address) to them, as the app says where it happens.

9. Availability and support

We work to keep Fleet HUB available and to fix problems quickly, but we do not promise it will be uninterrupted or error-free. We may take the service down briefly for maintenance. Support is by email through the Contact us page. Fleet HUB is a tool to help you run your business: you remain responsible for vehicle safety, driver compliance and legal requirements, and for checking that the information you rely on is right.

10. Ending the agreement

You may stop using Fleet HUB at any time by telling us. We may suspend or end your account if you materially break these Terms, fail to pay, or if required by law, and we will explain why where we can. When the agreement ends, section 6 explains what happens to Your Data.

11. Disclaimers

Fleet HUB is provided “as is” and “as available”. To the fullest extent the law allows, we disclaim all warranties, including any implied warranties of merchantability, fitness for a particular purpose and non-infringement.

12. Limit of liability

To the fullest extent the law allows, we are not liable for indirect, incidental, special or consequential damages, or for lost profits or data, arising from your use of the service. Our total liability for any claim is limited to the fees you paid us in the 12 months before the claim arose. Nothing in these Terms limits liability that cannot be limited by law.

13. Changes to these Terms

We may update these Terms. We will tell you by email or in the app at least 30 days before a material change takes effect. If you keep using Fleet HUB after that date you accept the new Terms; if you do not agree, you may close your account.

14. General

These Terms are the whole agreement between us about Fleet HUB. If part of them cannot be enforced, the rest still applies. They are governed by the laws of the jurisdiction where Fleet HUB is established, and the courts there have exclusive jurisdiction, except where the law of your location requires otherwise.
