How to track school bus drivers' CDL and medical card expiry dates

A simple system for school-bus companies to never miss a driver's CDL, medical card, background check or training renewal — and what to do the day one expires.

The FleetCommander team4 min readFacts checked

A school-bus driver carries more paperwork than almost any other driver: a CDL with the school bus (S) and passenger (P) endorsements, a DOT medical card that often runs only one or two years, a background check, in many states a child abuse clearance, and yearly in-service training. Each has its own date. Miss one, and a driver is on the road without a valid credential — the first thing a state inspector or a district asks about.

Here's a system that works whether you keep it in a spreadsheet or in software.

1. List every credential, for every driver

Start with one row per driver and one column per credential your state and your districts require. Typical columns:

  • CDL — number, class, endorsements (S, P), restrictions, expiry date.
  • Medical card — expiry date (the examiner can issue a shorter card for a condition being monitored).
  • Background / fingerprint check — date approved, and when it must be renewed if your state requires it.
  • Child abuse clearance — where your state requires one.
  • Training — the last in-service or refresher date, and when the next is due.
  • Drug and alcohol testing — enrolment in your random pool.

Tip: Keep a copy of each document with its date. A date with no document behind it doesn't help in an audit.

2. Get reminders well before the date

The renewal itself takes time: a medical exam needs an appointment, a CDL renewal a DMV visit, a background check weeks to come back. Set reminders at 90, 60, 30, 14 and 7 days before each date — early enough to book, frequent enough not to be forgotten — and one more on the day it expires.

3. Look for what's missing, not only what's expiring

An expiry reminder can't fire for a date nobody typed in. Once a week, check for drivers with no date at all for a credential, or no copy of a required document. New hires are the usual gap: they start driving before the paperwork is finished.

4. Decide what happens on the day

  1. The day a CDL or medical card expires, the driver doesn't drive until it's renewed — take them off their routes and cover them.
  2. Record the new date and file the new document as soon as it arrives.
  3. Put them back on their routes — and tell them, so nobody turns up for a run they're not on.

Doing it in FleetCommander

In FleetCommander, every driver has their licence and medical card dates, CDL class and restrictions, fingerprint and training dates, and their documents with expiry dates; aides have their background check, child abuse clearance and CPR dates. Reminders for the licence, the medical card, aides' dates and every document with an expiry date go out at the days you choose (90, 60, 30, 14 and 7 to start) and again when something expires. The fingerprint and training dates on a driver's page are kept for the record without reminders — for a renewal you want reminded, upload the document with its expiry date, or record it as a certification in HR. The Compliance Center lists what's expired and expiring, and a weekly summary tells you about anything never added — a driver with no medical card date, or a missing CDL copy when it's on your required-documents list in Settings › Compliance.

You can also just ask Ava (Beta), the assistant built into the app: Which licences expire this month?, When does James's licence expire? or What's our compliance score? — she answers from your own records with a link to the page. Drivers can ask her about their own papers too: When does my licence expire?, Is my medical card still good?

Good to know: Credential rules differ by state — check your state's school transportation rules and your district contracts for exactly what each driver must hold.

Questions people ask

How often does a school bus driver's medical card expire?
A DOT medical card lasts up to two years, and an examiner can issue a shorter one when a condition needs monitoring — so track each driver's own date rather than assuming two years.
What happens if a school bus driver's CDL expires?
They can't legally drive until it's renewed. Take them off their routes the day it expires, cover the runs, and put them back once the new licence is on file.
How can I track driver CDL and medical card dates automatically?
Keep every driver's dates in one place with reminders before each one — FleetCommander reminds you at 90, 60, 30, 14 and 7 days by default, lists expired items on its Compliance Center, and tells you weekly about any date that was never entered.
