Most of what goes into a school bus driver's file is bad news: a late start, a complaint, a write-up. The good days don't leave a paper trail unless someone makes one. A commendation letter is that paper trail: a short, specific thank-you, in writing, that the driver keeps and that sits in their file next to everything else.
It costs nothing, takes ten minutes, and drivers remember it. With driver shortages, recognition is one of the cheapest ways to keep the good ones. Here's when a letter is earned, what to put in it, a sample, and how to keep it on file.
When a commendation is earned
| What happened | Example |
|---|---|
| A safety save | Stopped a child from crossing in front of a car that ran the stop arm |
| Staying calm in an emergency | Evacuated the bus quickly when it filled with smoke |
| A clean record | A full school year with no late runs, no defects missed and no complaints |
| A letter from outside | A school, a parent or a district thanked you for a driver by name |
| Going beyond the route | Covered extra runs during a shortage, or trained new drivers |
| A good inspection | Their bus passed the state inspection with nothing written up |
What to put in the letter
- What happened, specifically, with the date. "Thanks for your hard work" is forgettable; "you spotted the car running your stop arm on Elm Street on October 14" isn't.
- Why it mattered: who was kept safe, what went right, what the school said.
- Who it's from: signed by the owner or the manager, not a form letter.
- A copy in their file, and say so in the letter.
- Something extra if you can: a gift card, a paid hour, their name in the newsletter or on the board at the yard.
Tip: Send it within a week. A thank-you two months later says the opposite of what you meant.
A sample commendation letter
Dear Maria,
On the morning of October 14, on Route 12 at the Elm Street stop, you saw a car coming toward your bus while your stop arm was out and a student was about to cross. You held the student back with your horn and your hand signal until the car had passed. Because you were watching your mirrors, that student got to school safely.
Lincoln Elementary's principal called us the same day to say thank you, and so do we. This letter will be kept in your file, and you'll find a gift card with it.
Thank you for the care you take with every run.
Sincerely, [Name], Operations Manager
Making recognition a habit
- Ask dispatchers and mechanics to tell you when a driver does something worth a letter.
- Pass on every compliment from a school, a parent or a district, with a note from you.
- Look at the year's records before reviews: drivers with no late days, no missed defects and clean inspections.
- Put commendations in the yearly review alongside anything else in the file.
Good to know: If you share a parent's or school's letter, check it doesn't include a student's details you shouldn't pass on.
Doing it in FleetCommander
Open the driver in HR › People and press Add commendation. Enter the Date, a short Title (Thank-you letter from Lincoln Elementary), What happened, and attach the signed letter, or the school's letter, as the File. Press Add commendation. It's kept on their page under Records with their warnings, reviews and notes, and never expires.
Records (under HR in the menu) lists every record across the company, newest first, with buttons for All, Warnings, Commendations, Reviews and Notes, so before reviews you can see who was thanked this year. Records are seen only by people with HR access, not by the driver, so give the driver their copy of the letter yourself. A driver's clean year shows on the Driver hours & pay report (Days late) and on their inspections. See the HR guide.
